Privacy Policy

Last updated: 5 June 2026

This privacy policy explains how Keep It House Radio ("we", "us", "our") collects, uses, and protects information when you use our website, mobile apps, or other services. We are committed to protecting your privacy and handling your data in an open and transparent manner.

This policy is written in plain English. If you have any questions about it, please contact us using the details at the end.

1. Who we are

Keep It House Radio is an online-only house music station, available through our website and app.

For the purposes of UK data protection law, the data controller is:

Keep It House Radio

Contact: please use the contact details on our Contact page.

2. What information we collect

We collect different types of information depending on how you interact with us.

When you listen via our mobile apps or website, we collect:

  • Anonymous technical information about your device (model, operating system version, app version) to help us fix bugs and improve performance
  • Your IP address, which is visible to our streaming provider when you connect to the live audio stream (this is a technical necessity for streaming and is not retained by us)

We do not collect your name, email address, or any other personally identifying information when you simply listen to the radio.

When you submit an advertising enquiry via our website, we collect:

  • Your name
  • Your email address
  • Your phone number (if provided)
  • Your company name
  • The contents of the message you send us

When station staff log in to administer the station, we collect:

  • Their name and email address
  • Login activity (for security purposes)

Admin authentication is handled by our identity provider, Clerk (see section 5).

3. How we use your information

We use the information we collect for the following purposes:

  • To run the radio service — to deliver the live audio stream, display the schedule, and run the mobile apps and website
  • To improve our service — anonymous technical data helps us identify and fix problems
  • To respond to advertising enquiries — when you submit the advertise form, we use your contact details to reply to your enquiry and discuss potential advertising with you
  • To allow station staff to manage the station — admin accounts are used to update the schedule, manage DJ profiles, and respond to enquiries
  • To comply with legal obligations — for example, if we are required to retain information by law

We do not sell your information to third parties. We do not use your information for unrelated marketing.

4. Legal basis for processing

Under UK data protection law, we need a legal basis to process your information. The bases we rely on are:

  • Legitimate interest — for technical diagnostics that help us understand and improve our service. You have the right to object to this processing (see section 8)
  • Consent — when you submit the advertising enquiry form, you consent to us using your details to respond. You can withdraw this consent at any time by contacting us
  • Contract — for admin staff, processing is necessary to perform their role as station staff
  • Legal obligation — where we are required by law to retain or disclose information

5. Who we share your information with

We share information only with the third parties who help us operate the service. These are:

  • Clerk — handles admin authentication. Admin user account information (name, email) is processed by Clerk on our behalf. Clerk's privacy policy is available at clerk.com/privacy
  • Resend — sends an email notification to the station and an acknowledgement to you when you submit the advertising enquiry form. Your name, email address, company, phone number and message are processed by Resend to deliver these emails. Resend's privacy policy is available at resend.com/legal/privacy-policy
  • Our hosting provider — our application and database are hosted on Replit's infrastructure. Replit's privacy policy is available at replit.com/site/privacy
  • Our streaming provider — handles the live audio stream. Your IP address is visible to them as a technical necessity of streaming

We do not share your information with advertisers, marketing companies, or any other third parties for commercial purposes.

6. Where your data is stored

Our application data is stored on infrastructure provided by Replit. Some of our processors (Clerk, Resend) may store data outside the UK in the United States or European Union. Where that happens, we rely on standard contractual clauses or equivalent safeguards approved by the UK government to ensure your data is protected to UK standards.

7. How long we keep your data

We keep information only as long as necessary for the purposes set out above:

  • Advertising enquiries — retained for up to 24 months from the date of enquiry. If you have not become an advertiser within that time, your contact details will be deleted
  • Admin user accounts — retained for as long as the person is a station staff member; deleted within 90 days after they leave
  • Streaming connection data — not retained by us; held only transiently by the streaming provider

If you ask us to delete your information, we will do so within 30 days unless we are legally required to retain it.

8. Your rights

Under UK data protection law, you have the following rights:

  • Right of access — to ask us what information we hold about you
  • Right of rectification — to have inaccurate information corrected
  • Right of erasure — to ask us to delete your information ("the right to be forgotten")
  • Right to restrict processing — to ask us to stop using your information in particular ways
  • Right to data portability — to receive a copy of your information in a structured, machine-readable format
  • Right to object — to object to our processing based on legitimate interest
  • Right to withdraw consent — where we are processing your information based on consent, you can withdraw it at any time

To exercise any of these rights, contact us using the details on our Contact page. We will respond within one month.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) if you are unhappy with how we have handled your information. Their contact details are at ico.org.uk.

9. Cookies and similar technologies

The Keep It House Radio website uses a small number of cookies. We only use cookies that are strictly necessary for the website to function (such as remembering admin login sessions). We do not use advertising cookies or third-party tracking cookies.

You can disable cookies in your browser settings if you wish, although this may affect how the website works for you.

The mobile apps do not use cookies but may use equivalent local storage to remember your settings within the app.

10. Children

Our service is not directed at children under 13. We do not knowingly collect information from children under 13. If you believe a child has provided us with information, please contact us and we will delete it.

11. Security

We take reasonable technical and organisational measures to protect your information from unauthorised access, loss, or misuse. This includes encrypted connections (HTTPS) for all data in transit, rate limiting on public forms to prevent abuse, and verified email authentication for all administrative access.

However, no online service can be completely secure, and you should also take steps to protect your own information (such as using strong passwords for any account you create).

If we ever become aware of a data breach that affects your information, we will notify you and the ICO in line with our legal obligations.

12. Changes to this policy

We may update this policy from time to time. If we make significant changes, we will notify you (for example, via a notice on the website or in the apps) before the changes take effect. The "Last updated" date at the top of this policy will always show when it was most recently changed.
